Behind the screen of SEPPmail’s antispam & virus protection programme
Nowadays, everyone protects themselves against malware and spyware by using anti-spam and anti-virus programmes. And every solution is set up differently in that respect.
As professionals, what do we look out for to guarantee you optimum security in e-communication? In terms of procedure? How legally?
We take you behind the scenes of SEPPmail’s anti-spam and anti-virus production – in three blocks: Tools, Legal / Compliance, Usability.
Our standard feature: The spying of e-mail data by third parties is already prevented during the transmission by encrypting it from the sender to the recipient. In addition to S/MIME and openPGP technologies, our customers also use the managed SEPPmail Domain Encryption to communicate with > 10,000 participating domains in a user-transparent encrypted way.
We use a URL block list to scan incoming and outgoing mail for harmful URLs and – just – block them. This ensures that you and your communication partners only click on links that are safe – and not infected.
Phishing filters ensure that, among other things, reloadable malicious script commands (enabling problematic drive-by downloads) are detected and eliminated.
In addition to commercial virus filter signatures, we also use specialised ones. These are automatically maintained up to date to detect the latest viruses specialising in e-mail.
Outgoing e-mails are also checked for spam and viruses to prevent you from unintentionally sending malware and spam e-mails.
Backscatter mails are so-called “delivery status notifications” that are sent automatically in the event of the recipient’s absence or delays in delivery. Since these are also misused for manipulation, we filter and minimise them down to the “real” ones.
New and previously unknown viruses are stopped by the early warning system. We have over a hundred spamtrap domains (a kind of honeypot for intruders) in use, whose sole purpose is to attract, receive, detect, collect and ultimately incapacitate new viruses or spam or unusual attachments.
Incoming e-mails pass through several actively defined filter stages before they are either recognised as correct and delivered to the customer’s mail server – or end up in quarantine. In the latter case, users can view quarantine reports.
Logins and changes in the control panel are logged indelibly and visible to administrators.
Unwanted attachments can be rejected or moved to quarantine. Our content filters comprise 1000 rules, whereby we take the order of magnitude from the customer’s mail server. We can selectively filter on office macros and have rate limiting in place to protect the client’s infrastructure – as well as our own.
The “Service Level Agreement” (SLA) describes the performance features of the service. Among other things, the scope of services, such as filter performance and availability of the service, is specified in the service description.
Set up the domain, if desired, adjust the basic settings to individual requirements, pan MX records – done. The changeover to our system is completed within a few minutes.
You can conveniently order additional services such as encryption on the portal. We are constantly expanding the service.
Users can customise the delivery of their quarantine report to suit their work routine and set it to specific times.
E-mails in quarantine can be delivered from the spam report with a simple mouse click, regardless of whether they are supposed spam messages or info mails.
The vast majority of all spam e-mails are blocked directly, so that the quarantine and thus the spam report are kept as small as possible and as large as necessary. This provides the user with a quick overview of the current e-mails in quarantine.
We ensure that desired e-mails reach their destination undamaged. Should the mails ever get stuck in a queue, we inform our customers proactively.
Large parts of the e-mail traffic are unwanted and place an unnecessary load on the e-mail server. “Spam and Malware Protection” only lets valid messages pass, which significantly increases the performance of the customer’s mail server. The integrated virus filter also makes an additional protection system superfluous.
